one of the ways (if we want to automate as much as possible), is to run on google forms, for new data entrance.

It could be that form is prepared for submission of new data, with notification by email when new data is entered. Then GFCE should validate the data (mark in google sheets another item, that it is correct data, maybe provide item number).

Then PowerBI should take data from this source, and filter only on approved data.

Now how to update data - for status, etc - then we need to ask people to submit data as new one, with new data, referring to current GFCE item number, and then via validation - GFCE staff would remove old item, and approve new one.

In form there should be field for naming the person who enters and organisation (maybe selects from GFCE members?), for easier triage/approving.

Simple and free tools, should work fairly simple.
